Five kinds of AI agent, one n8n backbone, and a team that stopped copy-pasting.
A full operations rework for an appliance distributor. n8n workflows connect their systems, and AI agents take calls, follow up on quotes, write reports, reconcile payments and coordinate each other, with people approving anything that matters.

What we were handed.
Three hundred dealers ordered by phone and WhatsApp. Six people spent their day taking orders, typing them into the ERP, sending price lists and chasing payments.
Calls after 5 pm went unanswered. The weekly report took four hours every Sunday. Matching bank transfers to invoices was a two-day job at month end.
Six pieces, one system.

n8n as the backbone
More than 40 workflows connecting the ERP, WhatsApp Business, the phone system, bank statements and shared sheets.
- 02
Voice agent
Answers dealer calls in Egyptian Arabic, day and night, checks stock and price, and enters the order. Hands over to a person when it should.
- 03
Sales agent
Follows up on open quotes on WhatsApp, sends the right price list, and flags dealers who have stopped ordering.
- 04
Reporting agent
Sends management a daily sales and stock summary, and answers questions like “which dealers dropped this month?”
- 05
Accounting agent
Matches bank transfers to invoices, sends statements, and writes polite reminders for overdue balances.
- 06
A board of agents
Built with Paperclip: a manager agent assigns work to the others, checks it against rules and budgets, and escalates to people. The owners sit as the board and approve anything above set limits.
From start to finish.
Agents with limits, and a paper trail.
- Agents can’t change prices or give discounts above a set limit.
- No payment is recorded without a human approving the match.
- Every action is logged, with the conversation that caused it.
“Our team used to type orders all day. Now they talk to dealers, and the agents do the typing.”
