What we were handed.
A solar sale takes nine steps across three teams: lead, site survey, system design, quote, contract, down payment, installation, grid connection and installments. The team ran it on ClickUp boards and Excel.
ClickUp tracked tasks well, but not deals. Survey photos lived in WhatsApp, every quote was rebuilt by hand, and finance heard about signed contracts days later. No one could say how many deals were stuck at survey, or how much was due in installments this month.
Six pieces, one system.
- 01
Their pipeline, exactly
Nine stages with their own required fields and hand-offs. A deal can’t move to quote until the survey is complete.
- 02
Survey app for engineers
Roof photos, measurements and shading notes, filed straight onto the deal from a phone.
- 03
Quote generator
System size in kW becomes panels, inverter, price and payback period, sent as a branded PDF.
- 04
Accounting inside the CRM
Invoices, installment schedules, collections and receipts, next to the deal they belong to.
- 05
Dashboards
Pipeline by stage, performance by rep, and cash due this week and this month.
- 06
Hosted and maintained by us
Daily backups, monitoring and updates, so the sales team never thinks about servers.
From start to finish.
Why not ClickUp, or an off-the-shelf CRM?
| Aspect | Generic tool | Built for you |
|---|---|---|
| Stages | Generic statuses anyone can skip | Your nine steps, with rules for each |
| Quotes | Rebuilt by hand in Excel | Generated from the survey in minutes |
| Accounting | A separate tool, updated later | Installments and collections on the deal |
| Reports | Exported and assembled weekly | Live dashboards |
| Cost | A subscription that grows with every seat | Not tied to the number of users |
ClickUp is a good task manager. It isn’t built to run a sales process with money attached.
“We stopped asking where a deal is. The system tells us, and finance sees it the same day.”
